1. Inventory Report

VIP Inventories understand the stress and difficulties Landlords, Letting Agents and Tenants can undergo should any

disputes arise over any dilapidations or damage, so as an independent company, we are impartial and unbiased in our

 detailed reports, which helps to reduce disputes between the two parties.

 

The process for producing an Inventory & Schedule of Condition report is normally carried out within a 48 hour time

period, from commencing the inspection, to delivery of the report.

           

Our standard practice for report distribution is to send a PDF version of the Inventory & Schedule of Condition report

by e-mail, plus two printed bound copies by first class post.

2. Check-In

VIP Inventories offers a check-in service to check Tenants into the property at the beginning of a tenancy.

The inventory clerk will go through the inventory report with the Tenants and note down any amendments or areas of concern that tenants may have. 

A list of keys will be checked and agreed upon with the Tenant, and meter readings confirmed.

Two copies of the inventory will be signed and checked by the Tenant, whereby one will be sentback to the Letting Agent or Landlord, and the other retained by the Tenant.  VIP Inventories will also retain a master copy. 

The inventory clerk will also inform the Tenant of their obligations with regard to the checkout procedure.

 

 

3. Check-Out

At the end of the tenancy, VIP Inventories will visit the property to compare the originalinventory and check-in report

with the present condition, and report our findings.

Although not essential, it is advisable that the Tenant attend the check-out, in order to agree any discrepancies or

variations to the original report. Variations could be cleaning deficiencies, damage, missing or additional items,

excessive wear and tear, and condition of the gardens. 

Should the Tenants not attend the check-out, then the inventory clerk's assessment is final. 

 

The Landlord or Letting Agent should provide us with any information as to any work that was carried out during

the tenancy either by the Tenant or Landlord, and if items were added or removed by the Landlord. This information

would be taken into account when compiling the checkout report. 

 

The checkout report will also include advice on who is responsible for any damage ordiscrepancies and any action

 required.  VIP Inventories will always take into account fair wearand tear when conducting our checkout reports

 

Meter readings will be noted on the report, as will the Tenants forwarding address if they are present at the check-out.

          4. Periodic Inspection Reports

Periodic Inspection reports are a summary of the condition and cleanliness of the property during a tenancy.  This usually

occurs either midway through the tenancy, or at a frequency specified in the Assured Shorthold Tenancy Agreement. 

 

The inspection is normally carried out by the inventory clerk at an appointed time, and attended by the Tenant.

The Inspection Report will inform the Landlord or Letting Agent of any problems with the property, and any repairs that

 need to be done.
